Members and invitations

Invite staff, assign roles and business profiles, and manage active memberships.

What this guide covers

The Members tab (Owner/Admin only) is where internal users join your business and receive their access levels.

Inviting a team member

  1. Open Settings → Members
  2. Send an invitation to the person's email
  3. Assign one or more roles (Owner, Admin, custom roles)
  4. Optionally restrict business profiles the member can access

Invited users complete signup through the invitation email flow.

Member status and roles

Each membership shows:

  • Display name and email
  • Status (active, invited, deactivated)
  • Assigned roles that control permission keys across the app
  • Business profile access when using multi-profile mode

Accounting profile assignment

When accounting scope is per profile, members may need profile access to view or edit scoped expense categories, tax rates, and bills for that entity.

Removing members from the business

Owners and Admins can remove non-owner members from Settings → Members using Remove from business. Removed members are moved to the Archived section:

  • They immediately lose access to this business (clients, commissions, projects, and all related data).
  • Historical records (bills, estimates, time entries, commissions) remain linked to them for audit and reporting.
  • Their name and email are snapshotted on the membership so attribution stays readable even if their account changes later.
  • They can be re-invited later from the same Members tab.

Platform-suspended users appear under Disconnected (separate from business-level archive).

Deactivating members

Archived members lose access but remain in history for audit and attribution on past records. Prefer archiving over deleting accounts when someone leaves the company.
