Project time and shift log settings

Configure project time categories, overtime costing rules, and shift log clock-in policies.

What this guide covers

Two related but distinct configuration areas govern how time is captured and how hours become costs.

Shift log settings

Controls clock-in/out behavior:

  • Whether breaks are tracked
  • Approval requirements before shifts count toward payroll
  • Rounding or validation rules for shift duration
  • Team lead approval scopes (also configured on Settings → Teams)

Shift logs are the payroll anchor — project time usually nests under an active shift when required.

Project time settings

Project time categories

Categories label hours on projects (e.g. Production, Install, Travel). Members pick a category when logging time on a project.

Create, rename, archive, and reorder categories from this tab.

Project cost overtime

Separate from payroll OT, project cost overtime rules mark hours as OT for project costing and margin reports:

  • Enable/disable project OT calculation
  • Modes: total hours threshold, time-of-day window, weekend rules, or combinations
  • OT multiplier applied to cost rates

Live logging without clock-in

When Allow live project time without clock-in is enabled, users can start project timers without an open shift (policy-dependent). Disable this for stricter payroll control.

Project detail time tracking

On projects, users with project_time_tracking permission see time logging controls. Logged entries roll into project financials when project_financials_access allows.
